Lending periods are communicated to the borrower via email notifications, verbal notification at time of check out, and due date slips in books. Borrowers may also log into their library account online to view due dates and other account information. It is the borrower’s responsibility to follow all lending periods, borrowing policies and procedures.
Items borrowed through interlibrary loan (ILL) are subject to the borrowing policies of the lending library and may differ from the lending periods and fines and fees policies of Weaver Library.
Fines & Fees
The library depends on the responsible use and timely return of items, so that others may access the same resources. If items are not returned within the lending and late item grace period to the library, the library will assume that the item is not being returned and will charge the borrower with:
- Lost item(s) replacement cost, the cost of replacing the item(s)
- Lost item(s) processing fee, this fee covers the cost of materials needed to process replacement items including barcodes, labels, and other processing supplies and will be charged per lost item
Items borrowed through interlibrary loan (ILL) are subject to the fines and fees charging of the lending library and may differ from the fines and fees policies of Weaver Library. Any fines and fees charged to Weaver Library for interlibrary loan items borrowed will be transferred to the borrower’s student account.
Renewals
Borrower’s may request to renew items checked out to their account. To request a renewal please call, email, or visit the library. Most items may be renewed a maximum of two times.
The following items are not renewable: anatomical models, in-library-use-only items, and items with an “end of day” lending period. Laptops must be renewed in person (exceptions apply for students who permanently live more than 40 miles from Great Falls).
Late Items
Weaver Library applies a 7-day late item grace period to an item’s due date (excluding days the library is closed) for student borrowers. During this time fines and fees will not be charged.
Lost Status
Lost status means that the item has not been returned to the library within the lending and late item grace period. Lost status is also applied when a borrower reports an item as lost.
When items reach lost status, the bill for the item replacement cost and processing fee(s) will be sent to the Student Accounts Office and a hold will be placed on the borrower’s account. If the item is returned in good condition within three months of the item due date, all fines and fees associated with the item will be waived from the student’s account. Please see procedure 902.1.2 for complete lost status information.
To avoid lost item charges, please return items on time, request renewal before the due date, or contact the library to ask for a short-term due date extension. We are happy to make short-term extensions if you have barriers to returning an item on time.
Damaged Items
Minor wear-and-tear from regular use is expected. Minor wear-and-tear (superficial scratches, fading) will not result in a damaged item fine.
Items returned with damage that affects the use or functionality of the item will be assessed for repair costs, which will be charged to the borrower. If items are damaged beyond repair, or repair costs more than replacement, the replacement cost for the item will be charged to the borrower. Damaged item repair and replacement charges may not be waived.
Borrowing Privilege Suspension
Weaver Library reserves the right to suspend borrowing privileges under the following circumstances:
- The borrower does not follow library borrowing policies and procedures.
- a borrower’s bill is transferred to the Student Accounts Office. Suspension will apply until the bill is paid or items are returned.
- items are frequently returned with moderate or excessive damage.
- Loanable technology borrowing privileges will be suspended if a laptop is not returned for any reason or is returned in such a damaged condition that it cannot be repaired.
- Anatomical Model/Learning Aid Kit borrowing privileges will be suspended if an anatomical model is not returned for any reason or is returned in such a damaged condition that it cannot be used.
- When items reach lost status and a bill is transferred to the student accounts three separate times within a 180-day period, even if the item is later returned. We do not suspend privileges lightly; however, the responsible use and timely return of items is expected. If items frequently reach lost status, this demonstrates irresponsible use and an inability to follow library lending periods, policies and procedures.
Interlibrary loan privileges will be suspended if items are not returned on time or are returned damaged.

Community Borrowers
Community Borrower Card
A community borrower’s card is required to check out library materials. A borrower’s card is not required for public computer use.
To apply for a community borrower card, patrons must present a photo ID and proof of residency in Montana (such as a utility bill), plus a “responsible adult” signature for borrowers under the age of 18. Cards may only be applied for in-person at the library.
Community borrower cards are issued for one calendar year and may be renewed (bring current photo ID and proof of residency).
Lost cards should be reported promptly.
A borrower is responsible for all items checked out on their card.
Borrowing Privileges
Community borrowers are allowed to check out the following types of items:
- Books in the general collection
- DVDs/AV materials
- Reference Materials
- Print Journal Issues
Community borrowers are allowed to check out up to 5 items at a time. Items under heavy demand by Great Falls College students or staff may be withheld or recalled at the discretion of library staff. Borrowed items may be renewed once unless someone else has requested the item. Renewals may be made in person or over the phone.
Electronic resources are accessible to community patrons in the library on designated public use library computers. Community patrons are expected to use the library in accordance with policy 902.5, conduct policy 901.1, and procedure 902.5.1.

If items are not returned within 7 days of the item’s due date, the library will assume that the item is not being returned, will mark the item with lost status, and will charge the borrower with:
- Lost item(s) replacement cost, the cost of replacing the item(s).
- Lost item(s) processing fee, this fee covers the cost of materials needed to process replacement items including barcodes, labels, and other processing supplies and will be charged per lost item.
If items are returned undamaged within 30 days of the due date, the replacement cost and lost item processing fee will be waived. Overdue fines are still owed.
If items are not returned within 30 days of the due date, the library will declare the items permanently lost. Any unpaid balance will be sent to the business Office for collection. Once a bill is sent to the business office for collection it may not be waived or refunded, even if the borrower later attempts to return the item.
